Terms and Conditions for Sound in the Woods

Company: Sound Outside (“we”, “us”, “our”)
Applies to: All woodland-based creative retreats, workshops, events, and experiences delivered by us (together, the “Retreat” or “Retreats”).
1. Acceptance of Terms
By booking, attending, or participating in any Retreat, you confirm that you have read, understood, and agree to these Terms.
If booking on behalf of others (including children), you confirm you have authority to accept these Terms for all participants.
2. Nature of Our Retreats
Sound in the Woods offers small-group, creative experiences in woodland settings, including (but not limited to):
Music-making and sound exploration
Creative workshops and group activities
Nature immersion and sensory experiences
Movement, mindfulness, and reflective practices
Campfire-based sessions and shared experiences
All Retreats are outdoor, nature-based, and participatory in nature.
3. Eligibility and Health
You must be:
At least 18 years old, or
Accompanied by a parent/guardian who accepts these Terms
Our Retreats may involve:
Outdoor terrain
Creative and physical participation
Exposure to weather and natural elements
You are responsible for ensuring you (and anyone you book for):
Are physically and mentally able to participate
Have consulted a healthcare professional if needed
You must not attend if you:
Have a contagious illness
Are unwell in a way that may affect group safety
Important: Our Retreats are not therapy, medical treatment, or clinical services.
4. Assumption of Risk
You acknowledge that participation involves inherent risks, including:
Slips, trips, and falls
Uneven or natural terrain
Weather exposure
Minor injuries or physical strain
Emotional or psychological responses from creative work
You accept full responsibility for these risks for yourself and any participants you book.
5. Outdoor Environment and Access
Retreats take place in woodland and natural environments, which may include:
Muddy, uneven, or slippery ground
Limited facilities
Exposure to weather, insects, and natural elements
You are responsible for:
Wearing appropriate clothing and footwear
Arriving safely using provided directions
Checking travel and access conditions
We are not responsible for:
Travel disruption
Parking issues
Conditions outside our control
6. Participant Responsibilities
You agree to:
Follow all instructions and safety guidance
Respect facilitators and other participants
Engage responsibly in all activities
Bring required equipment (see joining instructions)
Disclose relevant medical or accessibility needs
You must:
Not attend under the influence of drugs or alcohol
Stop participation if you feel unwell
Take responsibility for your own wellbeing
7. Small Group Ethos and Conduct
Our Retreats are intentionally small, collaborative group experiences.
You agree to:
Contribute respectfully to the group environment
Respect boundaries and differences
Engage in a spirit of curiosity and openness
We may remove participants (without refund) if they:
Disrupt the group
Behave unsafely
Do not follow guidance
8. Creative Content and Intellectual Property
All materials, activities, and content provided during Retreats remain the property of:
Sound Outside / Sound in the Woods
You may not:
Reproduce or distribute materials
Use content for commercial purposes
Replicate Retreat formats or sessions
Any recordings, music, or creative outputs remain subject to our guidance and permissions.
9. Photography and Media
We may capture photos or videos for documentation and marketing.
Consent will be requested at booking or on arrival
You may opt out at any time
You must not:
Record or photograph others without consent
10. Bookings, Payments, and Confirmation
Bookings are confirmed once:
Payment is received
You receive confirmation
We reserve the right to:
Correct pricing errors
Cancel bookings where necessary (with refund)
11. Cancellations, Transfers, and Credits
Specific terms may be listed on each Retreat page.
Unless stated otherwise:
Bookings may be non-refundable
Transfers or credits may be offered at our discretion
If we cancel or change a Retreat, we may offer:
Transfer to another date
Credit
Alternative arrangement
We are not responsible for:
Travel or accommodation costs
12. Weather and Force Majeure
All Retreats are outdoor and weather-dependent.
We may:
Adapt activities
Change schedules or locations
Shorten or cancel sessions
If changes occur due to:
Weather
Safety concerns
External factors beyond our control
We may offer:
Transfer or credit only (no refund unless required by law)
13. Personal Property
You are responsible for your belongings.
We are not liable for:
Loss
Theft
Damage
14. Medical and Emergencies
We do not provide insurance.
You are responsible for:
Your own insurance (if desired)
In emergencies, we may:
Provide basic first aid
Contact emergency services
15. Liability
To the fullest extent permitted by law:
We are not liable for:
Injury, loss, or damage arising from participation
Exception (UK law):
Nothing excludes liability for:
Death or personal injury caused by negligence
Fraud or misrepresentation
